The Administrative Assistant provides administrative support and coordinates activities for specific individuals or teams, ensuring efficient office functioning through a range of responsibilities. Under moderate supervision, job provides an opportunity to play a key role in ensuring the success of daily operations for employees of all levels.
Key Responsibilities and Duties
Maintains office inventory, facilitates supply orders and completes other general office duties.
Supports employees with various tasks related to onboarding, appointment setting and travel arrangements.
Provides meeting assistance through scheduling, presentation preparation and diligent note taking.
Handles various office tasks related to communication and organization.
Upholds organizational policy and procedures, while also ensuring office-wide coordination efforts among various teams and departments.

About the Position
Provide administrative support for the leaders of Nuveen’s Global Client Service organization and coordination of special projects across the broader Global Client Service team.
Key Responsibilities: :
Provide administrative support to the 3 leaders of the Global Client Service organization including:
Calendar management via Outlook; schedule appointments and meetings; make necessary arrangements for meeting/conference resources
Receive and screen telephone calls and visitors
Assist in scheduling and coordination of larger staff meetings, potentially offsite
Partner with other administrative assistants across the firm on scheduling of high priority meetings
Assist with travel arrangements and expense reports via Concur
Format and prepare a variety of routine materials including correspondence, memos, and reports, some of which may be of a confidential nature
Maintain organizational charts
Coordinate special projects and oversee completion of tasks across the team
Monitor due dates for key tasks and provide reminders and updates on completion
Prepare and update presentations in PowerPoint
Maintain and update files, databases, and reports
- 0-2 years of experience providing administrative support
2+ years of experience providing administrative support and/or project coordination
Financial Services and/or Asset Management experience
Associate’s or Bachelor’s degree
Advanced skills in Microsoft Office Suite; Excel, Word, PowerPoint, Outlook
Strong communication skills (oral and written); ability to effectively interact and respond to staff, managers and executives, clients, and the general public
Ability to quickly and effectively comprehend general business materials and compose and/or edit business correspondence and other written materials
Ability to manage projects independently and track key tasks to ensure completion
Must be a team player who takes direction well
Minimum Pay: $20.72
