TIAA Director, Occupancy Planning & Space Strategy in Frisco, Texas
The Occupancy Planning & Space Strategy role is responsible for space and occupancy analysis and the creation of space and occupancy strategies for real estate efforts, small and large-scale, within TIAA's over 4 million square foot portfolio. The plans developed by this role ensure that TIAA's physical environments align with TIAA's overall space strategy and drive associate productivity and job satisfaction, and thereby maximize associate experience and efficiency.
Key Responsibilities and Duties
Creates supply/demand analyses and provides stack planning and alignment strategies reflective of the needs of the individual lines of business for renovations, consolidations, and to improve general space efficiency. Includes coordinating with Construction and Facilities to develop detailed move sequencing plans.
Tracks and analyzes headcount and square footage data to ensure we are optimizing our space utilization and to develop recommendations for immediate and for long-range space requirements. Maintains records of headcounts to track against plan and predict future requirements.
Advises on Integrated Workplace Management System (IWMS-iOffice) regarding the navigation and set up of the IWMS program, creation of space types, and data maintenance to ensure the system generates accurate space data reports. Audits IWMS space data for accuracy utilizing current company standards and collaborates with line of business partners to resolve any issues.
Develops space plans in AutoCAD for renovations, relocations, and new leases while applying TIAA’s space strategy standards and adhering to code requirements. Develops project schedules and determines resources necessary to ensure successful and on-time project completion.
Oversees the Workspace Leader program (a network of leaders representing the lines of business regarding space needs).
People leader of 2+ associates responsible for space planning and occupancy planning deliverables.
Monitors and controls external vendors assigned to Global Real Estate projects.
Develop and implement the Workspace Leader Program which is a network of approximately 20 Workspace Leaders and 50 business space coordinators and support staff representing all lines of business regarding space needs. Responsibilities include organizing and leading quarterly Workspace Leader calls to update leaders on space and occupancy activity. Requires collaborating with other departments to ensure all critical processes and updates are communicated.
Responsible for delivering on-time project completion to avoid unnecessary business down time and/or additional expenses to the project due to delays.
Supports key enterprise real estate initiatives ensuring the physical environments drive associate productivity and high job satisfaction, thereby maximizing the associate experience and job efficiency.
Analyzes and audits space data and floor plans for TIAA’s over 4 million square foot portfolio for accuracy and utilizes the information to develop strategies regarding current and future space usage across the portfolio.
Works closely with our Corporate Services partners as well as with representatives from all lines of business to guide business units in making longer term occupancy decisions.
Conveys to the lines of business why the recommended solution moves toward the desired goal or a common vision.

- 5+ years of supervisory experience working in a large corporate real estate environment with exposure to global portfolios and multiple lines of business
Preferred:
7+ years of supervisory experience working in a large corporate real estate environment within financial services, with exposure to global portfolios and multiple lines of business
Strong leadership and interpersonal skills with the ability to navigate difficult discussions when managing direct reports, TIAA associates and leaders, and outside vendors.
Experience addressing and influencing constituents affected by space change as well as executive management
Keen intellect and desire to find creative solutions to drive space efficiency and improved utilization
Experience working in a matrix environment with competing priorities and limited resources
Desire to learn and grow with a mission-driven organization focused on improving retirement outcomes for its participants
University degree that has an accredited program in interior design, architecture, or similar field of study
Has in-depth knowledge of IWMS and drafting systems (iOffice, AutoCad and Revit) regarding the navigation and set up of the IWMS program, creation of space types, and data maintenance to ensure the system generates accurate space data reports.
Ability to understand business requirements and form real estate and facilities strategies that support enterprise goals.
Understanding of workspace strategies that drive down costs and increase productivity.
Active awareness and understanding of global workplace trends, innovations, and opportunities.
Understanding of enterprise processes and standards including Architecture, Planning, Design, Construction, Real Estate, Facilities Management and Commercial Furniture
Distills complex information to the essential facts for client decision-making.

Base Pay Range: $87,400/yr. - $121,500/yr.
Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location. In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).
