TIAA Audit Invoice and Release Coordinator in JACKSONVILLE, Florida


As a part of TIAA’s Retail & Institutional Financial Services business, TIAA Bank, a division of TIAA, FSB, provides full-service, nationwide banking and lending services to consumer, commercial and institutional clients through a variety of channels, including online, its Florida-based financial centers and at other business offices throughout the country.


This role’s primary responsibility will be to conduct regular system authority/access audits and invoice reconciliations for the Home Lending Division. This role will also research exceptions and maintain audit documentation and library for all reviews. This position will support management with Home Lending monthly release planning and coordination tasks while identifying needs to enhance business processes and platforms in alignment with business goals and objectives. Also, will support vendor management activities, which include working with vendor relationship managers across TIAA, FSB to ensure enterprise-wide requirements for risk assessment, due diligence, and ongoing vendor monitoring are being met and completed. In addition, the role provides support services to the Change Management Office (CMO) including reporting, clerical support, logistics, data entry, and SharePoint Administration.


  • Conduct application access validation reviews timely and maintain strong documentation

  • These reviews include following a process to request lists of users, arrange lists by manager, send and track approvals, process changes, evaluate controls and present results

  • Collaborate with HR, IT, and Production support to obtain necessary documentation to complete the access validation reviews

  • On average, one report requires a 60 day cycle to complete and at least one report should be completed each week

  • Upon completion, an individual report is required, as well as formal monthly and quarterly presentations of results

  • Strong audit documentation of all activity is to be maintained in the department’s SharePoint

  • Reconcile key vendor invoices to determine accuracy of billing and payment

  • Invoices from multiple vendors (averaging over one million dollars a month) must be reconciled against application information to determine the validity of the bills

  • Invoices from other vendors used for the loan origination process, are preformed monthly to ensure borrower funds are appropriately collected and applied Support management with Home Lending monthly release planning and deploy coordination tasks

  • Microsoft (MS) Project application reporting needs and weekly tasks identified by management

  • Provide written summaries of invoices and expense trends to management

  • Create reporting for reconciliation of fees between applications/loans through the loan origination system (LOS)

  • Work closely with vendor relationship manager business units, and other EVMO team members to process various EVMO requests (Onboarding, Certificate of Insurance, etc.)

  • Help conduct vendor evaluation and selection by gathering and maintaining various information items needed including risk ratings and rating summaries

  • Ensure the quality of data inputted in the Vendor Management System

  • Collaborate with the Change Management Office to optimize content creation and to meet the needs of the business

  • Provide support for monthly executive reviews

  • Support Change Management intake process through data entry, creation of folders, and uploading submission forms to SharePoint site

  • Monitor centralized mailbox and respond to questions and escalations in a timely and professional manner

  • Review new intake requests for completeness and follow-up for additional documentation as needed

  • Maintain user friendly SharePoint sites for document management and department logistics

  • Coordinate and support the implementation of the Change Management process for TIAA Bank loan servicing and banking operations

  • Ensure a smooth process in communicating, coordinating, and monitoring lending change management requests

  • Support and assist the Change Management Director with the Lending Change Management meetings

  • Maintain updated reports related to Change Management requests for change and approved projects on the portal SharePoint site

  • Monitor notifications of investor changes to assure that the business addresses in the change management process in a timely manner


  • Strong understanding of reporting and analytics

  • Proficiency with MS Office (Word, Excel, MS Project, TFS) and internet searches

  • High level of detail and accuracy in all work produced

  • Must be self-motivated and capable of working independently and in a team environment


  • High school diploma

  • Three years of related Banking and/or Home Lending experience


  • Bachelor’s degree

  • Audit analyst or quality assurance experience preferred
