Nuveen Investments Executive Assistant (12 months FTC) in London, United Kingdom

Overview of the Role

To support and assist their respective managers in every aspect of its day to day running. This is an all-encompassing secretarial and administrative coordination role providing support.

Key responsibilities will include:

Primary focus to act as Executive Assistant will involve extensive liaison with:

Board members

Shareholders, external clients and business partners

Managers and staff London based and overseas

Provide full time administrative support

Organise and facilitate meetings, conferences, events and catering as required

Proactive extensive diary management, prioritising and filtering out non-essential meetings

Ownership of OCOO mailbox including assertations and manual office requests

Arranging internal meetings such as monthly team calls and one to one calls with individual team members

Arranging internal and external meetings, conference and video calls

Co-ordinating Board, Executive Leadership Team (ELT) and committee meeting materials, ensure information is printed before meetings

Manage the European & Asia ELT meetings, managing the yearly schedules, collating the papers and distributing by the deadline. In the absence of the Senior EA, attending the meeting and taking the minutes / actions

Prioritising and screening emails, responding within a timely manner

Extensive travel arrangements and complex itineraries including visa’s and in line with new COVID-19 restrictions

Submitting expenses in line with company policy and updating other regulatory data such as PTA etc

Checking and approving invoices via internal system

Ad hoc personal tasks e.g. arranging personal meetings, and travel, purchasing gifts, errands

To act as global co-ordinator for conference calls, meetings and client interaction

Providing cover in the absence of the Senior EA, being a key contact for the PA pool

Document filing, storage and archive management

Act as a role model for the PA pool

Working extremely closely with the Global assistants helping support the Senior EA with board and management offsites, setting up events etc

Assisting as a key contact for the yearly seminars, working closely with the Senior EA

Flexibility around hours, managing your time around your Manager and additional general ad hoc EA duties as they arise

Complete company training within deadline set, setting an example for the Assistant pool

Technical Skills & Qualifications Required

Strong attention to detail; ability to work effectively and efficiently under own initiative

Excellent verbal and written communication skills are required

Good command of written and spoken English is necessary

Able to prioritise and multi-task in an often fast-paced organisation, with global coordination ability

Strong working knowledge of Microsoft office applications (Outlook, Word, Excel, PowerPoint)

Previous experience of providing EA/PA/Team support essential, ideally from Finance or Professional Services
