TIAA Brand Activation Show Services Coordinator in New York, New York
This is a Non-Employee Contingent Worker Role providing services for TIAA’s family of companies and will be employed by TIAA's preferred 3rd Party Supplier. As a Non-Employee CW, perform a variety of moderately complex business planning, support, and project-related duties. Demonstrates an exceptional standard of quality and holds themselves accountable to achieving excellent results.
This role is located onsite at our TIAA office in New York, NY, USA but will currently be remote.
The anticipated term of this engagement will be 12 months. This term could be extended based on company business needs.
This role is responsible for providing support of Nuveen US Wealth and Institutional conferences and sponsorships. This individual will work with colleagues, business partners and vendors proactively to ensure operational excellence for all program support. This role will work across the team to support the Enterprise marketing presence at events and sponsorships nationwide and work closely with the Show Services team, ensuring all programs are branded with quality exhibit assets, signage and premium items. In addition, this role will provide ad hoc project and event management support for key programs throughout the year. This role will report to the Head of Enterprise Events.
Key Responsibilities and Duties
Show Services Support• Project manage conference sponsorships from start to finish including invoice processing, exhibit needs, and speaker and attendee management.• Help to maintain conference calendar across all channels.• Work with Show Services to ensure fulfillment and on-site support needs are met.• Process invoices related to conference sponsorship.• Assist in development of new assets (e.g. Exhibit Booths, banners, etc.)• Make recommendations of asset development and playbook enhancements conference management support.• Manage 1:1 support with business colleagues, track outcomes and volume for reporting.• Assist in the development of DIY tools and process improvements.
Required Qualifications:• Excellent written and verbal communication skills.• Strong customer service skills, approaching work with a friendly, energetic, approachable, motivated and calm demeanor at all times.• Ability to multi-task.• Command of Microsoft suite of products specifically Excel and PowerPoint.• 1-3 years of prior event management/conference planning experience.• Cvent experience preferred.• Strong organizational skills and ability to prioritize tasks.• Strong project management skills.

Overview
This role is responsible for providing support to the Brand Activation Show Services unit. This role will work across the Show Services team to support the Enterprise’s marketing presence at events and sponsorships nationwide. This individual will work with internal business partners and vendors proactively to ensure operational excellence for all program support including ordering exhibit assets and premiums and coordinating logistics. In addition, this role will also provide ad hoc project and event management support for key programs throughout the year as needed. Some travel will be required. This role will report to the Head of Show Services.
Conference Show Services Support
Work with Events conference program owners on their branded assets, exhibiting and on-site labor needs
Use Exhibit Force software to place orders for assets to ensure fulfillment and on-site support needs are met
Process invoices related to conference sponsorship as needed
Work with Show Services vendor to ensure timely fulfillment and on-site support needs are met for conferences
Make recommendations of asset development and playbook enhancements in support of conference management support.
Process invoices related to orders; Input expenses into Cvent for tracking
Work with the overall show services team to drive efficiencies
Assist in the development of DIY tools and process improvements in support of conferences
Some travel will be required
Required Qualifications:

Potential Salary: $69.56 USD
Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.
