TIAA Senior Administrative Assistant in New York, New York
The Senior Administrative Assistant provides support to meet the business needs of company upper management. Under moderate supervision, this job is meets the daily requirements of upper management and various other office needs, including operational tasks, organizational duties and office-wide coordination efforts.
Key Responsibilities and Duties
Serves as primary administrative contact for upper management, working across all lines of business and with external agencies by answering telephone, taking messages and answering routine questions.
Provides support for daily upper management operations including meeting arrangements, travel and expenses.
Coordinates overall office functioning through inventory checks, space scheduling, event planning, event execution and paperwork processing.
Maintains master copies of organizational policy and procedure manuals and keeps them up-to-date.
Acts as a liaison between upper management and internal departments, ensuring effective communication and cohesion.
Maintains upper management calendars, contact lists and provides ad-hoc support as needed.

Additional responsibilities:
Areas of responsibility supporting two leaders on the Communications team:
Managing calendars
Schedule and manage ongoing meetings, including one-on-ones with executives, team members and functional leaders
Schedule work meetings with multiple stakeholders, ensuring that agendas and pre-meeting materials, as available, are distributed
Coordinate travel, including ensuring logistics and details are documented and confirmed
Team Meetings
Organize team meetings, including off-sites; handle details and logistics
Coordinate meeting agenda by gathering topics and materials from attendees and routing agenda to participants
Take account of outcomes, deliverables and deadlines
Expenses
Manage expense reports on Concur  Â
Manage and track department expenses, ensuring timely processing
Relationship Building
Work closely with other senior level administrative assistants to ensure maximum efficiency and effectiveness
Form relationships with members of the team
General Administrative Support
Build and edit power point presentations, as needed
Manage distribution lists and update org charts
Liaise with contractors, creative partners, agencies
Performs other duties as assigned
Qualifications:
Outstanding verbal, writing and listening skills with a polished demeanor
Being able to work independently
Extremely organized and efficient
Strong attention to detail and follow-up
Demonstrated ability to work independently, manage competing priorities and meet tight deadlines
Be a problem solver, idea-generator, flexible, dependable and results-oriented
Ability to maintain confidentiality of sensitive information
Interest in Communications is a plus Â
Ability to have fun with the team!
BA/BS preferred
Base Pay Range: $27.49/hr. - $45.82/hr.
Actual base salary may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location. In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance (for example, annual discretionary incentive programs, non-annual sales incentive plans, or other non-annual incentive plans).Â
